Power BI consulting in Australia, priced before the work starts

Roar Data builds Power BI dashboards, data models and Excel reporting automation for organisations across Australia, from Brisbane. Engagements start with a $1,950 reporting diagnostic, including GST, credited back in full against the build if you proceed within 30 days. Everything after it is quoted as a fixed price in writing before any work starts.

What Roar Data does as a Power BI consultancy

Roar Data is a Power BI and reporting consultancy based in Brisbane, working with organisations across Australia.

Roar Data builds Power BI dashboards and the data models underneath them, connecting the finance system, the spreadsheets and the other tools a business already runs so reporting refreshes on its own instead of being assembled by hand.

Roar Data rebuilds Power BI that has become slow, fragile or no longer trusted, and reconciles KPI definitions that disagree between finance, operations and leadership.

Roar Data automates Excel reporting, so month-end packs and board packs stop depending on one analyst and one undocumented process.

Roar Data trains internal teams on their own reports - Power BI Desktop, DAX, data modelling and workspace governance - so the reporting can be maintained after handover.

It is a reporting practice rather than a software vendor: the work is delivered inside your own Microsoft tenant, on licences you already hold.

Brisbane-based, working with organisations in the major capitals nationally, remotely.

What Roar Data builds

Executive, financial and operational Power BI dashboards
Data models that join ERP, CRM, payroll and spreadsheet data into one reporting layer
Rebuilds of Power BI reports that have become slow, fragile or hard to maintain
KPI definitions agreed once and held across finance, operations and leadership
Excel reporting automation, replacing manual month-end and board pack assembly
Power BI training on your own reports: Desktop, DAX, data modelling and governance
Ongoing managed support, refresh monitoring and performance tuning
Row-level security and workspace governance inside your own Microsoft tenant

What that looked like in one engagement

A Queensland manufacturer of around 250 staff. Month-end reporting took five days; it now takes one. The reports that were assembled by hand for two hours before each morning meeting are live and refresh on their own, so the meeting opens on what to do about the numbers rather than on producing them.

One engagement, described without naming the client. It is not offered as a typical result - what a build achieves depends on the systems involved and the state of the data inside them.
Working nationally

Working with a Brisbane consultancy from anywhere in Australia

The question is rarely whether reporting can be built remotely - it is what, if anything, has to happen in a room. Almost none of this work does. Power BI reporting is built against your source systems and delivered into your own Microsoft tenant, so where the consultant sits matters far less than whether they can get a supported, scheduled extract out of the systems you run. The part that genuinely benefits from a room is the definitions conversation, and that runs perfectly well on Teams with the right four people in it.

Discovery, definition workshops and reviews run over Teams, on your calendar
Reporting delivered into your own Microsoft tenant and workspaces
Brisbane runs on AEST all year - the same clock as Sydney, Melbourne, Canberra and Hobart for half the year and an hour behind them the other half, half an hour ahead of Darwin and Adelaide in winter, and two hours ahead of Perth
On-site workshops in Brisbane; everywhere else runs remotely or hybrid

What a Power BI consultant costs in Australia

Four things make up the total. One is a published fixed price, one is quoted in writing before work starts, one is Microsoft's, and one is yours.

Few firms in this market publish a number, which makes the first conversation an estimate of an estimate. Roar Data publishes the structure of the cost and the floors that do not move: focused builds start at $3,250 and full transformations from $10,000, always fixed-price and always including GST. Where your build lands between those depends on things nobody can see from outside your organisation - how many systems have to be joined, how clean the data is when it comes out of them, and how much history you want loaded. That is what the diagnostic establishes, before you have committed to a build.

Reporting diagnostic
$1,950 including GST, the same starting point for every engagement. A written action plan for your reporting. Credited back in full against the build if you proceed within 30 days.
The build
Quoted as a fixed price in writing before any work starts. Focused builds from $3,250, full transformations from $10,000, including GST.
Power BI licensing
Paid to Microsoft directly, at their published rates. Most organisations already hold what they need inside Microsoft 365.
Your time
The definitions conversation, and access to the systems the reporting pulls from. This is the part nobody can do for you.

How to choose a Power BI consultant

Four questions that predict how an engagement goes, whoever you end up hiring.

Ask about the data model, not the dashboard

A dashboard is a week of work on a good data model and a permanent argument on a bad one. What predicts the engagement is what happens underneath: how the sources are joined, where the business logic lives, and what happens when someone adds a new site or a new product line. Ask how a model was structured, not how a report looked.

Ask who owns the tenant, the workspace and the model

Reporting that lives in a consultant's tenant, or behind a layer you cannot open, is a dependency you did not agree to buy. Ask where the reports will sit, who administers the workspace, and whether you could hand the model to someone else tomorrow.

Ask for the number before the work, not after

Time and materials moves the risk of a bad estimate onto you. A fixed price quoted before work starts moves it back. Ask what happens if the data turns out messier than it looked, and whether that changes the number you were quoted.

Ask what happens after handover

Reporting decays when nobody internal is left able to change it. Ask what the handover includes, whether the team is trained on their own reports, and what a small change costs six months later.

Common questions

Is Roar Data a Power BI consultancy that works across Australia?
Yes. Roar Data builds Power BI dashboards, data models and Excel reporting automation for organisations across Australia, from Brisbane. Brisbane is the home market and where on-site work happens most often; everywhere else is delivered remotely, which is how most Power BI work is done in any case.
What does a Power BI consultant cost in Australia?
Roar Data publishes its floors: focused builds start at $3,250 and full transformations from $10,000, always fixed-price and including GST. Where a build lands between those depends on how many systems have to be joined and how clean the data is when it comes out of them. That is established in a $1,950 reporting diagnostic, including GST, credited back in full against the build if you proceed within 30 days. Power BI licensing is paid to Microsoft separately, at their published rates.
Do you work with organisations outside Queensland?
Yes. Brisbane is the core market, and we also work with organisations in the major capitals nationally. Power BI reporting is built against your source systems and delivered into your own Microsoft tenant, so the work runs remotely without much changing. Definition workshops run on Teams, which is where they run for most clients regardless of location.
We already have Power BI and it is not working. Is that the same conversation?
Often, and the diagnostic is where that call gets made. Power BI that has grown messy - slow refreshes, measures nobody can explain, numbers that disagree between two reports - is common, and the fix is usually in the data model rather than the dashboards on top of it. The diagnostic establishes whether the existing build is worth repairing or worth replacing, before you have committed to either.
Who owns the reports once the work is finished?
You do. Reporting is built inside your own Microsoft tenant and your own workspaces, not held in ours. You can hand the model to another consultant, or to your own team, without asking us for anything. Training on your own reports is available if you want the team to maintain it themselves.
How does an engagement start?
With the $1,950 reporting diagnostic, including GST. We look at the systems the reporting has to pull from, what is reportable now, and what needs work first, and you get a written action plan. It is credited back in full against the build if you proceed within 30 days. If you would rather talk first, the 15-minute call is free.

Ask about Power BI consulting

Tell us where your reporting is slow, manual or hard to trust, and which systems it has to pull from. We reply within one business day - a practical conversation about your numbers, not a sales pitch.
